Executive Assistant
The Executive Assistant will support the SVP, Communications and Media, to ensure effective ongoing operations.
Main responsibilities:
- Proactively managing the calendar to avoid conflicts. Keep a view of the calendar 3-4 weeks out to avoid last-minute shuffling;
- Coordinate travel arrangements including itineraries, agendas, and visas;
- Manage incoming phone calls as needed;
- Prepare and process monthly expense reports;
- Support in administrative planning and coordinating of major meetings (i.e. Global Conferences and Workshops, Regional Roundtables, Innovation, and Brand Strategy meetings) including reserving conference rooms and working with Office Services for room setups, audio-visual needs, security, transportation of materials, catering, etc.;
- Manages product closet including budget tracking, inventory ordering and organization, and enforcement of product request process. Prepare gift bags as requested by VPs;
- Order office supplies and handle other office-related procurement activities;
- Facilitate team onboarding including ordering computer/ancillary equipment, arranging name plates, ordering office supplies, and scheduling 1:1 onboarding sessions;
- Maintains designated Brand email group aliases;
- Facilitate shipping needs to domestic and international affiliates;
- Collects agenda topics as requested for standing team meetings;
- Collaborate with other Global Administrative Assistants, as necessary;
Requirements:
- University graduate required;
- Fluency in Italian and English is a must;
- 3-5 years in a corporate environment providing administrative support;
- Mature with a strong work ethic, high level of integrity, sense of dedication, and commitment to strive for excellence;
- Ability to be flexible and agile, savvy and analyze facts, proactive, resourceful and draw conclusions, provide insight and problem solve, quick learner;
- Communication skills: possess concise verbal and written skills that will allow the incumbent to communicate productively with a wide range of people, both internally and externally;
- Very strong attention to detail;
- Advanced computer skills including Microsoft applications – Outlook, Word, Excel, and PowerPoint;
- Must be comfortable working with diverse personalities in a highly complex, fast-moving business environment;
- Display professionalism, diplomacy, and discretion when handling matters of a confidential nature.
